TOEIC IT Vocabulary: Software, Maintenance and Outages

For TOEIC-style IT notices, learn the language of access, timing and user action: unavailable, maintenance, sign out and resolve. You do not need to study programming to understand a notice. Read an IT notice as a set of instructions

Look for the affected service, the start and end time, and the action required from the reader. A notice may mention an update only to explain why users must save their work. If the question asks what employees should do first, the best evidence is the instruction, not the technical reason.

Of the 1,512 IT-tagged items, 236 are labelled hard (15.6%). The tag identifies a setting, so the group includes grammar and reading questions as well as vocabulary questions. Unavailable, offline and outdated are different

Unavailable means you cannot use or obtain something at the relevant time. Offline means not connected or operating online. A service can be unavailable because of capacity or permissions even when the server is online. Outdated means no longer current; it does not necessarily mean inaccessible.

Update may be a noun or a verb: install an update versus update the application. Backup is a noun or modifier, while back up is a verb phrase: create a backup and back up your files. These spacing and form differences matter when the blank is grammatical.

Original practice notice: planned maintenance

Scheduled maintenance: The employee portal will be unavailable from 8:00 p.m. to 9:30 p.m. on Friday. Please save your work and sign out before 7:55 p.m. The update is intended to improve performance; it will not change your password. Access to the public website will remain available. If you cannot sign in after 9:30 p.m., contact the help desk and include the error message. Do not send your password.

  1. Which service is affected: the employee portal or the public website?
  2. What must employees do before 7:55 p.m.?
  3. Does the notice ask users to change their passwords?
  4. When should a user report a continuing sign-in problem?
  5. What information should the user include, and what should they omit?

Notice answers: separate the deadline from the outage

  1. The employee portal. The notice explicitly says the public website remains available.
  2. Save their work and sign out. The action deadline is earlier than the 8:00 p.m. outage.
  3. No. The update will not change the password, and no password-change task is requested.
  4. After 9:30 p.m., when access should have resumed.
  5. Include the error message; do not send the password.

This exercise tests scope, time and instructions. A reader who recognises maintenance but misses before can still choose the wrong action time. Review prepositions of time, then use Part 7 scanning to locate only the detail a question needs.

Three vocabulary checks

Answers: 1 A, unavailable matches cannot sign in. 2 B, a backup is a retained copy. 3 C, prevent matches before they occur; recover addresses something already lost. Try writing one sentence about a planned interruption and another about an unexpected outage.

Do I need programming knowledge for TOEIC IT notices?

The learning goal here is workplace reading: identify the service, timing and required action. Technical terms should be understood through the notice rather than treated as a programming syllabus.

Does offline always mean the same thing as unavailable?

No. Offline refers to connection or online operation. Unavailable means a service cannot be accessed or used; several different causes can make it unavailable.

What is the difference between backup and back up?

Backup is a noun or modifier, as in a backup copy. Back up is a verb phrase: back up the file.

Why is the sign-out deadline earlier than maintenance time?
