TOEIC Customer Service Vocabulary: Complaints and Refunds

Customer-service reading is about identifying the problem, the proposed remedy and the customer’s next action. Address a complaint means deal with it; resolve an issue means solve it. A refund returns money, while a replacement supplies another item. Our bank has 1,060 customer-service-tagged questions, with 5.9% labelled hard.

Why this context is useful for building confidence

The refreshed count finds 63 hard items out of 1,060 in this group. That is a relatively low editorial hard share among the contexts we examined, but it is not a guarantee that every support email is easy. Conditions and sequencing can still change the answer even when the vocabulary is familiar.

Refund, replacement and compensation

A refund returns money paid. A replacement supplies another item instead of the original. Compensation is broader: something offered for loss or inconvenience, depending on the situation. A message must specify the remedy; the reader should not assume a free item means money will also be returned.

Address can be a noun meaning location or a verb meaning deal with. In address a complaint, it is the verb. Resolve is stronger in outcome: a team may address a complaint by investigating it before the issue is resolved. Acknowledge receipt only confirms that a message or item was received.

Courtesy expressions carry tone, not always action. “Thank you for your patience” does not specify a new deadline. “Do not hesitate to contact us” invites contact. It does not mean the customer is required to call. Compare modal verbs when a reply includes must, may or do not have to.

Original practice email: a damaged lamp

Dear Ms Lee, Thank you for contacting us about the damaged desk lamp. We can send a replacement at no charge. Please reply with your order number and a photograph of the damage within seven days. You do not need to return the lamp until we send you a prepaid shipping label. Once we receive your reply, we will confirm the dispatch date. If you would prefer a refund, please say so in your reply. Thank you for your patience.

Answers: distinguish an offer from a completed action

  1. The desk lamp was damaged. The email does not establish how the damage happened.
  2. Her order number and a photograph of the damage.
  3. No. She should wait for the prepaid shipping label.
  4. No. The company will confirm it once it receives her reply.
  5. State in her reply that she prefers a refund.

The condition “once we receive your reply” controls the promise. The original message does not guarantee a dispatch date before that action. Use Part 7 scanning to connect the condition to its result instead of reading will confirm as already confirmed.

Frequently asked questions

Does address a complaint mean the complaint is already solved?

Not necessarily. Address means deal with it, which may include investigating. Resolve indicates solving the issue.

Is a replacement the same as a refund in a support email?

No. A replacement provides another item, while a refund returns money. Read which remedy is offered and whether the customer must choose.

Does thank you for your patience tell me when delivery will happen?

No. It is a courtesy expression. The delivery or dispatch date must come from a separate statement.

Does 5.9% hard mean I will get 94.1% of service questions right?

No. The percentage describes editorial difficulty labels, not learner performance or a predicted score.
